Go onto the Files tab in your workspace. Note: Editing requires you to have the correct permissions for the file/folder. Ask the Workspace owner or raise a ticket if you think you should be able to edit a document but it won't let you.



Then click on the document you want to edit. Once you have clicked onto it, it will show a preview of the document (which may include videos, which you can play directly in the browser) and, as long as you have permissions, four options/buttons on the top right corner. 


Click on the button that says ‘’Edit’’ and it will give you the option to either edit in Microsoft Word/Excel/PowerPoint desktop or Online. (Other applications may also be edited but you may need to manually upload the new version and unlock the file afterwards.)



Editing in Word/Excel/PowerPoint Online

Word (etc.) Online provides a similar experience to editing on the desktop - perfect for quick edits to basic documents.


While you're editing the document will show as Locked to anyone else and will automatically save as you go.  In the file list, an icon with a padlock shows that the document is locked for editing. Just the file name means it's available. You will also get warnings if you try and do anything else that you have a document locked. This is fine if it's intentional and you're working on a few things at once, just remember to close any documents you're finished with.


Once you have finished editing, check the title bar says "Saved to Cloud" after the file name and you can just close the tab. It should also prompt you if there are any unsaved changes but it's best to wait a few seconds so they're done.


Editing in Office desktop applications

If the menu mentions installing Desktop Connect, contact Systems IT to install this on your laptop for you from the Glasscubes Support site (clicking the link to download it first will save time). Once that's installed and you've entered your Glasscubes username and password, documents will be downloaded, opened and re-uploaded to Glasscubes automatically. Remember to click the Unlock file button in Glasscubes when prompted if you've finished editing.

Editing in other applications

You can still do this, click the Edit button and Desktop Connect will download the file to your computer. When you save the document, as long as you just click Save and not Save As or Save a Copy, Desktop Connect will upload the edited file for you. You can then close the application. When you go back to the preview page it should show a File saved dialog (as below) with the option to Unlock file now, if you've finished working, or Unlock later if you have more edits to do before releasing the document as a new version.
